Dost allows you to easily download and export your processed invoices and delivery notes.
You can do this in two ways: from the "Documents" section or by setting up a periodic export. Below, we explain both methods step by step.
1. Download Files from "Documents"
- Go to the "Documents" tab and select the documents you want to export.
- Click on the download icon located at the top right (it will only appear once you selected the documents).
- Four export options will appear:
- Export original(s): Downloads the original documents (pdf, png, etc.).
- Export CSV(s): Generates a CSV file of the selected documents.
- Export JSON(s): Allows you to download the data in JSON (JavaScript Object Notation) format, useful for sharing information between systems.
- Download via template: This option lets you use a predefined template to customize the export.
If you want to customize the content of your CSV file, we recommend using the Download using a template option, as explained in the next section.
2. Set up a periodic export
You can automate the export of CSV files from the Settings > Export section, where you will find two key tabs:
"Templates" Tab
Here you can manage export templates to customize the data included in the CSV file:
- You can choose from predefined templates or create a new one.
- To create a custom template, click on "New Custom Template".
- Assign a name to the template and select the fields you want to include in the export. You can add as many fields as needed.
- In the "Field Name" column, you will see how they are identified in Dost, while in "Field Description", you can assign a custom name to each field.
- Save the template.
When you download documents from the "Documents" tab, you will be able to select one of these templates to structure your CSV file according to your needs.
Common Errors When Creating Templates
You will not be able to save the template if the fields are not in the correct order. Make sure to structure them properly:
- Header fields
- Item fields
- Tax-related fields
"Export Configuration" Tab
From this tab, you can schedule automatic exports:
- Define the export frequency (daily, weekly, monthly, etc.).
- Select the template you want to use.
- Choose whether you will receive the CSV file via email or connect it to a data source through integrations.
- Select any additional available information you wish to include.
- Save the settings.
With this option, Dost automates the generation and delivery of CSV files, ensuring that you always have access to up-to-date information.
You're now ready to download and export your documents easily and efficiently!
